After a Recording

What happens when you stop recording — the Chat workspace for transcription, AI chat, and artifact generation.

After you stop a recording, Meelio automatically opens your consultation or meeting in the Chat workspace. This is where you collaborate with the AI to refine and finalize your clinical documentation.

Layout

The workspace is split into three panels:

  • Conversation Sidebar (leftmost) — Navigate, search, or filter through your past and current chat sessions. Can be collapsed to maximize screen space.
  • Chat Panel (center) — Converse with the AI to generate or adjust clinical artifacts.
  • Artifact Panel (right) — View, edit, version, and finalize your clinical documents, transcripts, and notes.

You can resize the panels by dragging the vertical dividers between them.

Artifact Panel Tabs

The Artifact Panel organizes your consultation materials into tabs:

  • Transcription — The full text of the consultation.
  • Pre-consult report — The summary generated before the appointment (if available).
  • Session notes — The notes you typed during the recording.
  • AI Artifacts — Generated documents like Clinical Notes, Care Plans, and Meal Plans.

Header & Actions Menu

The consultation header displays:

  • Title — The consultation title (defaults to the patient name or "Meeting").
  • Patient name — If linked, clicking the patient's name will open their profile page in a new tab.
  • Actions menu (⋮ icon):
    • Rename — Change the consultation title.
    • Link to Patient / Change Patient — Link a general meeting to a patient record or change the linked patient.
    • Delete — Delete the consultation and its artifacts.

Transcription

If using Enhanced (Batch) transcription, the full transcript is processed after the recording stops. You can view it in the Transcription tab of the Artifact Panel.

If using Live transcription, the transcript captured during the recording is already available.

Auto-Summary

If you have Auto-generate summary enabled in Settings, Meelio automatically generates a summary of the consultation as soon as the workspace opens. The summary streams in real-time to the Artifact Panel.

Using the Chat & Template Picker

The Chat Panel lets you interact with the AI to generate documentation. You can type instructions or use the Template Picker to quickly generate specific documents.

Template Picker

Above the chat input, you'll find buttons for each artifact type (Clinical Note, Care Plan, Meal Plan). Clicking these opens a picker where you can:

  1. Browse templates from your Organization or Global library.
  2. See which templates are set as your defaults.
  3. Select a template to immediately trigger generation based on that format.

Suggested Actions

When no template is selected, you can click suggested actions:

With a patient linked:

  • "Generate clinical note"
  • "Generate care plan"
  • "Generate meal plan"

Without a patient (general meeting):

  • "Create summary note"
  • "Extract key points"

You can also ask follow-up questions, request changes to generated documents, or ask for more detail on specific topics.

While chatting, you can enable Web Search by clicking the globe icon below the chat input. This allows the AI to pull in the latest clinical research or guidelines to inform your documentation. For more details, see Web Search in Post-Consultation Chat.

Handling Failures

If a message fails to send, a "Not sent" indicator will appear. Click Retry to try again.

Linking a Patient After Recording

If you recorded a general meeting and want to link it to a patient, there are two ways to do it.

From the Chat Panel Prompt

Before you send your first message, the chat panel shows a prompt asking "Is this a patient consultation?"

  • Click Yes, link to patient to open the patient picker.
  • Click No, general notes to dismiss the prompt and carry on with general meeting notes.

From the Header Actions Menu

  1. Click the actions menu (⋮ icon) in the header.
  2. Select Link to Patient.
  3. Search for and select the patient.

Once linked, you'll have access to patient-specific AI tools, templates, and document generation (clinical notes, care plans, meal plans).

Sending Your Work to Your EHR

If you have an EHR integration connected (Cerbo or Practice Better) and the consultation is linked to a patient, Meelio reminds you to send your documents before you move on.

When you leave a consultation that still has unsent artifacts — by switching to another conversation or starting a new chat — a dialog appears asking whether to send your notes to your EHR (named for the provider you connected, for example Send to Cerbo?).

  • Send Now — Opens the sync dialog so you can choose which documents to push to the patient's chart.
  • Skip — Leaves without sending. Your documents stay saved in Meelio and you can send them later from the patient's record.
  • Don't ask again — Stops the reminder from appearing for you in future consultations.
