AI & Summaries

AI-related settings are found under Settings → Recording & Transcription (labeled "Assistant" in the sidebar) and Settings → Memory in the personal settings category. This page covers the AI-specific options and memory configuration.

Auto-Generate Consultation Summaries

When enabled, Meelio automatically creates a summary after each consultation ends. The summary appears in the Artifact Panel in the Chat workspace.

Enabled (default) — Summary generates automatically when you stop recording
Disabled — You can still request a summary manually via the chat

AI System Prompts

The AI Prompts section lets you customize how the AI behaves in different contexts. There are two separate prompts:

Patient Chat Prompt

Used when the AI has patient context (during consultations and patient-specific chats). This prompt guides how the AI generates clinical documentation, responds to questions, and structures artifacts.

General Chat Prompt

Used when the AI operates without patient context (general conversations, research questions).

Select the prompt you want to customize
Toggle Use Custom Prompt
Enter your custom instructions (up to 10,000 characters)
Click Save

Agent Memory

Agent Memory allows Meelio's AI assistant to remember key details about how you work across different sessions and conversations. This helps customize your experience without needing to edit custom prompts or manually repeat preferences in every chat.

Privacy & HIPAA Compliance: Agent Memory is strictly designed for practitioner-level facts and preferences (such as your preferred note formats, clinic-specific policies, or workflow choices). It never stores any patient-identifying information or patient-specific clinical data.

How Memory Works

Unlike traditional system prompts that you must edit manually, Agent Memory is agent-mediated. The assistant learns and updates its memory dynamically based on your instructions:

Invisible Write Path: When you guide the assistant during a chat (e.g., "Actually, I prefer my treatment plans structured with bullet points rather than paragraphs" or "Remember that we use the metric system for all patient metrics in this clinic"), the assistant automatically saves this preference as a memory in the background.
In-Thread Confirmation: The first time the assistant saves a memory during a conversation, an in-thread notification card will appear showing exactly what was remembered (e.g., "The assistant saved a memory: 'Prefers bulleted lists for treatment plans'"), along with a button to manage your memories.
Recall: In subsequent conversations, the assistant automatically recalls and applies these stored preferences to its responses, documents, and notes.

Managing Stored Memories

You can view, disable, or delete memories from Settings → Memory in the personal settings sidebar:

Toggle Memory: Toggle Use memory to turn the feature on or off.
- When enabled: The assistant will use and save memories.
- When disabled: The assistant stops using or saving new memories. Your existing saved memories are safely kept but will not be used until you turn the feature back on.
View & Browse Memories: Browse your saved memories grouped by category:
- Preference: Formatting and style preferences (e.g., note structures).
- Workflow: Habitual clinical workflow styles.
- Practice Fact: Facts about your clinic, clinic location, or common protocols.
Delete Memories: Click Delete next to any saved memory to permanently forget it. This action is irreversible.
Update Memories: To change a stored memory, simply tell the assistant in a chat: "Actually, I prefer..." or "Update my preference to...".
Memory Capacity: There is a server-enforced cap of 50 memories. If you reach this limit, an amber banner will warn you that your memory is full, and you must delete some existing memories to allow the assistant to save new ones. Least recently used memories are displayed first when the limit is reached to help you prune.

Practice-Level Control (Admins Only)

Practice administrators can control memory usage for the entire organization:

Toggle Practice Memory: Admins will see an Assistant memory for this practice option on the Memory settings page.
Opt-Out: Turning this off disables Agent Memory for everyone in the practice. Saved memories are retained but are not accessed or used by the assistant.

Tips

Start a new chat session after changing prompts or settings for the changes to take effect
View the default prompt before customizing to understand the baseline behavior
Click Reset to return to the default prompt at any time
